Making Reservations, Deposits, Changes and Cancellations

 

Before you book your tour with us, we hope you will become familiar with our Tromsø Guide booking, deposit, and cancellation policies.

 

MAKING TROMSØ GUIDE RESERVATIONS

Once you have made a reservation with us, we will confirm the availability of your seat(s) and payment confirmation via email. The information you provide via our online booking system (Checkfront) and payment system (Stripe) helps us process your reservation request quickly and get the final confirmation of your booking back to you as soon as possible. The more detailed the information you provide, the better.

We will make every effort to fulfill last-minute requests (less than 1 day prior to departure) if seats are still available. Once booked, all last-minute reservations are final and non-refundable.

DEPOSITS AND PAYMENTS DUE

All reservations require a 100% deposit of your total tour price. To secure your seat(s), we recommend you to book our product(s) at least 14 days in advance. Finalize your booking by credit card payment for confirmation. Your credit card will not actually be charged until we are able to confirm your reservations. When your tour is confirmed, you will receive a booking receipt via e-mail.

DiscountS

We offer a 10%-discount for group bookings with 5-6 guests per one reservation. Please email us to ask for more information.

FORMS OF PAYMENT AND BOOKING

We only accept credit card payments as form of payment for reservations on our website. Tromsø Guide AS uses a third party payment provider, Stripe, to handle all credit card information and payments. Stripe is an industry standard PCI-approved payment provider, which means that your credit card information is as secure as can be. All credit card data is sent directly to Stripe over HTTPS which means the data is encrypted, and that Tromsø Guide AS never actually sees or has access to your credit card number. The reservation check out is processed through SSL (secure socket layer) which prevents anyone else from accessing this information.

We also accept credit card payments for add-ons (e.g., tripod, warm suit, overshoes) using iZettle Reader on-sight, before the chase begins. Nevertheless, while booking a chase online, we recommend to reserve a desired add-on to guarantee its availability.

 

TOUR CANCELLATION POLICIES

All cancellation requests for booked tours must be sent in writing to (hello@tromsoguide.no).

Our typical tour cancellation fees schedule is based on a percentage of the total invoice. The effective date is the date on which the written cancellation notice is received by e-mail.

If you cancel:

14 days prior to departure: 100% of booking invoice total will be refunded

13 – 2 days prior to departure: 50% of booking invoice total will be refunded

Less than 2 days: 0% of booking invoice total will be refunded

As a friendly reminder, once you have made your trip plans and confirmed your booking with Tromsø Guide AS, consider purchasing travel insurance to protect yourself from canceling your tour with us due to events out of your control. Your travel insurance may cover your cancellation fees.

Be aware that different cancellation rules can be applied if you book our services through a website of the third party provider. If this is the case, we will comply with the rules of that provider.

REFUNDS DUE TO OUR CANCELLATION

We may cancel a tour in case of severe weather conditions that we consider too dangerous for driving or if we do not reach a minimum number of participants. Please read about the minimum number of participants for each product we offer before you begin your booking process. If we cancel the tour due to the reasons stated above, you will receive a 100% refund.

We may also cancel a tour due to unforeseen logistical issues (guide’s sickness or vehicle problems). If we decide to cancel, you will receive a 100% refund.

In case of cancellation, you will be notified as early as possible. Please regularly check your email and/or phone prior to the tour departure, especially if weather conditions are unfavourable.

If the tour cancelled by us, we will do our best to offer you alternative date(s).

REFUNDS FOR NO SHOWS / UNUSED SERVICES

Any pre-booked tour not checked-in for is considered a no-show and no refund will be issued. Any pre-booked tour that is not used is not refundable.
